Add a payout adjustment
An adjustment changes a controlled financial result and requires clear evidence, authorisation, and reconciliation. The Add Adjustment control was observed in Perslace, but its fields, approval effects, audit behaviour, and reversal path were not verified.
Publication blocker: Do not use this article as a production procedure. Test the complete adjustment lifecycle with synthetic data and obtain Product and Finance approval before documenting which fields to complete or submitting a live adjustment.
Who can use this checklist
Section titled “Who can use this checklist”Administrators and authorised Finance users may use this review checklist. Access to the control does not by itself grant authority to change a payout.
Prerequisites
Section titled “Prerequisites”Before any adjustment is considered, obtain:
- An approved reason and named decision owner
- Sanitised supporting evidence
- The employee, cycle, scheme, period, and expected result
- A reconciliation of calculated commission, carry, existing adjustments, and final amount
- Confirmation of the required approval and audit process
- A tested recovery or reversal route
Prepare an adjustment safely
Section titled “Prepare an adjustment safely”- Identify the first verified cause of the difference.
- Decide with the authorised Finance owner whether the issue should be corrected in source data, scheme configuration, assignment, or through an adjustment. Do not use an adjustment to hide an unresolved calculation defect.
- Record the current employee amount and payout-cycle total before any change.
- Calculate the proposed adjustment independently and record its business reason, evidence, owner, and expected after-change amounts.
- Check whether the employee or cycle is already approved, finalised, closed, or associated with a downstream payroll process.
- Confirm how Perslace records, approves, recalculates, reverses, and audits an adjustment in a disposable synthetic cycle.
- Obtain the required Finance and workflow approval.
- Stop here until the field behaviour and recovery path have been verified. Do not select Add Adjustment in a live cycle from this guide.
Expected result
Section titled “Expected result”You have a reviewable adjustment decision packet and before-and-after reconciliation. No live payout has been changed by following this draft.
Important notes
Section titled “Important notes”Warning: Whether an adjustment can be edited or reversed, and how it affects an approved or finalised result, remains unverified.
- Use only the minimum evidence necessary and remove personal, client, and credential data.
- Preserve the original calculation and approval evidence.
- An adjusted or Paid status is not proof that Perslace transferred funds.
Troubleshooting
Section titled “Troubleshooting”The proposed amount does not reconcile
Section titled “The proposed amount does not reconcile”Separate calculated commission, carry, existing adjustments, and final amount. Recheck the period, employee population, currency, and calculation version. Do not proceed while the difference remains unexplained.
Add Adjustment is unavailable
Section titled “Add Adjustment is unavailable”Check the authorised role, cycle and employee state, validation messages, and whether Action Lock or another access approval applies. Never bypass a control or share a one-time code.
An approved or finalised result needs correction
Section titled “An approved or finalised result needs correction”Do not directly modify source data or scheme rules to rewrite the result. Preserve evidence and contact the authorised Finance owner and Perslace Support because correction and recovery behaviour remains unverified.
